How the calculation works
The calculator multiplies four numbers you control. Nothing is estimated for you.
- Missed appointments per month = bookings per month × no-show rate.
- Revenue lost per month = missed appointments × average booking value. The yearly figure is the monthly figure × 12.
- Kept by deposits = revenue lost × deposit percentage, assuming deposits on missed bookings are not refunded.
How to reduce what no-shows cost
Take the deposit at booking
State the deposit on the service before the client starts booking, then collect it as the last step, so a slot is only held for a committed client.
Send reminders from the booking itself
Confirmations and reminders that go out automatically reach every client, including on the busy days when nobody remembers to send them.
Make rescheduling easier than not showing up
A client who can move a booking in a few taps tells you early, while there is still time to fill the slot.
Common questions
What counts as a no-show?
A client who misses a confirmed booking without notice. A late cancellation that leaves too little time to rebook the slot costs the same, so include those in the rate.
How do I find my no-show rate?
Count no-shows and late cancellations over the last three months and divide by the total bookings in the same period. Multiply by 100 to get a percentage.
Does a deposit remove the cost of a no-show?
Only in part. A deposit keeps its share of the booking value when a client does not show. The rest of the slot value is still lost unless the time is rebooked.
