Run a second location without a second system

A new location needs its own hours, services and staff, not a copy of the first calendar.

Studios, salons and service businesses opening a second location, or already running several, that want one account where each location keeps its own hours, prices and staff.

Opening a second location is usually decided on demand: the first one is full, or clients keep asking for somewhere closer. The setup work rarely gets the same attention. Many businesses copy the first calendar, rename it and carry on. It works for a few weeks, until a client books a service the new location does not offer, or books nine o’clock in a time zone nobody checked.

Decide what each location actually offers.

Start with a plain list for each location: the services it can deliver, the people who work there, the rooms and spaces it has, and its opening hours. The lists will not match, and that is the point. A treatment that needs a particular room, or a service only one senior stylist performs, belongs only to the locations where it can really happen. When the booking page reads from these lists, a client who chooses the new location only sees what that location can deliver, instead of learning the difference at the front desk.

Keep the differences in one place.

Prices, durations and hours often differ between locations for good reasons: rent, demand, a smaller team. Define each service once and record only what is different, where it is different, such as a higher price in the city centre or shorter weekday hours at the new address. Two copies of the same service drift apart the first time someone updates one and forgets the other. One service with a local exception keeps every later change simple.

A second location should add a second set of opening hours, not a second system.

Assign people to places, not just to calendars.

Staff who work across locations are where most mix-ups start. If a person’s availability is not tied to where they are that day, the calendar can offer them at both addresses at once, or at the one they are not travelling to. Assign each team member to the locations where they actually work, give each location its own time zone if it needs one, and add dated closures for holidays or a refit. The same rules then protect both calendars, and the owner can still see the whole business in one view.

What to set up before the new location takes bookings

  • The address, time zone, weekly hours and any dated closures.
  • The services it offers, with any local price or duration.
  • The team members and rooms that belong to it.

Open it for booking when it is ready.

A location can stay hidden from clients while its hours, services and staff are set up, and open when everything matches reality. Common questions

Should each location have its own booking link?

Not necessarily. One booking page can let clients choose the location first and then show only the services, times and people available there. Separate links per location, included on the Studio plan, help when each location is marketed on its own, for example from its own social profile.

What if a service costs more at one location?

Keep one service and set a different price, or a different duration, for that location. The other locations keep the default, so a later change to the service itself only has to be made once.

How do we handle staff who work at more than one location?

Assign them to every location where they work and keep their working hours accurate. The calendar can be filtered by staff and by location, so the owner sees the whole team while each location sees its own day.
